Job Opportunity - Volunteer Coordinator
We’re looking for a compassionate, organized, and community-driven individual to join our team as Volunteer Coordinator at Retail Therapy KW. Work Arrangement: Hybrid (Remote & In Person), Permanent Part-Time
In-Person Work Location: 150 Victoria Street South, Kitchener, Ontario
Required Shift Availability: 10-20 Hours Per Week, Flexible Shifts Available
(Operating Hours are 11am-7pm Wed-Fri / 10am-5pm Sat & Sun
Pay Rate: $20.00 per Hour
Pay Period & Date: Thursdays, Bi-Weekly

The Volunteer Coordinator will be responsible for the recruitment, screening,
selection, onboarding, management, and evaluation of all volunteers at Retail
Therapy KW. Key components of this position are the promotion of volunteer
opportunities to the public, ensuring the health and safety of volunteers and
employees, and maintaining a positive image of the organization within the
community. Other responsibilities include the scheduling and supervision of
volunteers, and ensuring all policies and procedures are followed.
JOB DUTIES
Manage all activities relating to the recruitment, selection, and onboarding of
volunteers.
Promote volunteering opportunities internally and externally.
Assign, organize, and track completion of training requirements as per
applicable legislation.
Maintain volunteer records and user accounts in the applicable
databases/HRIS (BrightHR/BrightSafe & ConnectTeam).
Serve as a primary staff resource for volunteers and manage all volunteer
activities, including scheduling, work assignments, and performance
evaluation.
Ensure volunteers are present for their assigned shifts and meeting their
monthly hour commitments.
Ensure volunteers have the necessary tools and resources to fulfill their
assigned responsibilities.
Serve as a key-holder for retail operations.
Develop and maintain policies, procedures, and systems to ensure the
effective management of volunteers.
Regularly communicate with volunteers to ensure a positive experience for
both volunteer and the organization.
Handle accommodation requests, complaints, and concerns and
communicate needs with the Executive Director as required.
Prepare and submit regular reports on volunteer operations.
Participate in regular staff and board meetings to share ideas, feedback, and
suggestions to improve operational efficiency.
Assist in the management of Retail Therapy KW’s social media accounts,
including the design and review of content.
Other duties as assigned.
SKILLS, ATTRIBUTES, & EXPERIENCE
High-school diploma, GED, or equivalent required.
Post-secondary in a related field such as Human Resources, Social Work, or
Business Administration are an asset, but not required.
Proficiency with Google Suite.
Familiarity with HRIS databases an asset, particularly BrightSafe/Bright HR.
Must be willing to use a personal cellular device for work purposes.
Strong interpersonal skills and can work independently and/or as part of a
team.
Strong written and verbal skills with the ability to communicate effectively and
efficiently.
Politically and culturally sensitive.
High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts.
Proven ability to supervise, motivate, train, and monitor the performance of a
team of volunteers.
Good training, coaching, team-building, and mentoring skills.
Possess strong time management and organization capabilities.
WORKING CONDITIONS
Location: Primarily based at the Retail Therapy KW store located in Kitchener,
Ontario. Some tasks may be completed remotely, at the discretion of the
Executive Director. May require occasional travel for events within the local
community.
Environment: The role is primarily performed within a retail store
environment, which may involve standing, walking, and interacting with
customers, staff, volunteers, and survivors. The environment can be dynamic
and may experience periods of high activity.
Time Commitment: This is a part-time position requiring approximately 15-20
hours per week, with some flexibility in scheduling. The operating hours are
10:00 am to 7:00 pm daily.
Interactions: Frequent interactions with a diverse group of volunteers, staff,
customers, and community members is required. The ability to communicate
effectively and maintain positive relationships is essential.
Physical Demands: While primarily an administrative role some physical
tasks may be required, such as setting up events, organizing materials, or
assisting with retail store operations as needed.
Equipment: Use of standard office and retail store equipment such as
computers, printers, telephones, point-of-sale systems, internet, and volunteer
management applications/databases.
Emotional Demands: The role involves supporting and managing volunteers,
which involves addressing concerns or sensitive situations with empathy and
professionalism.
ABOUT THE ORGANIZATION
Founded in 2022, the Domestic Violence Victim’s Association & Retail Therapy KW partners with local organizations, shelters and Shelter Movers to support survivors of intimate partner violence (IPV) as they rebuild their lives.
Retail Therapy KW is open to the public, and operates as a thrift store in the
community. Proceeds from retail sales go directly to support DVVA’s support
services, including personal shopping opportunities for survivors. Through our free personal shopping experience, survivors are able to choose the essential items they need – clothing, furniture, kitchenware, and more – to create a
safe and comfortable home. Thanks to generous donations of gently used items from the community, Retail Therapy KW provides each survivor with an average of $1,500 worth of goods at no cost – giving them not just the basics, but the dignity of choice and a foundation for a fresh start.
